Legislative offices today are very busy.  Staff is overextended.  And yet a reputation for fast, competent response to constituent requests makes successive elections easier.   Aristotle’s Constituent Service! is the only program designed from the ground up to serve as a “force-multiplier” for your legislative office.  With Constituent Service! you can quickly identify constituents by their requests, review previous correspondence, respond, and record the transaction for future use.

Constituent Data Management

In Constituent Service!, every registered voter in the district is automatically assigned his or her own record.  The information already maintained on past constituent interactions is automatically appended and preserved.  As businesses and organizations are added to the database by the office staff, they too get their own record. Each record may contain up to three addresses, seven phone numbers, an email address, and numerous enhancements, such as phone number, estimated income, homeowner status or presence of children, drawn from COSMOS, Aristotle’s highly accurate Nationwide Voter File.

Additionally, each record contains folders that allow the legislative staff to log information about each constituent including what issues they care about, bills they support/oppose, what organizations they belong to, vote history if available, their position on whatever issues the office tracks, and a detailed form to track the status of any casework the office is handling for that constituent. Aristotle provides the ability to attach files to constituent records.  Attached files are stored on a web server and can be viewed, deleted or modified from within constituent sub file records.

Advanced Search Engine

Searching the Constituent Service! database is one of the most powerful and useful functions. There are numerous search options, such as Name Search or Full Search. Name Search gives flexibility to find a record if you only know the first few letters of the name. Additionally, if you are searching for a common name, you can limit your results by zip code to reduce the number of records from which you will have to select.  If the record is not already in your database, one mouse click will import the record of that voter, from anywhere in the U.S., directly into your Constituent Service! program. Full Search allows you to sort your records by virtually any source of information that is entered into a specific field. No matter how general or specific your request, Full Search is up to the challenge. Even better – it is flexible and user friendly, and fast!

Email and Direct Mail Advocacy

Using the Constituent Service! mailing wizard allows letters, labels, envelopes and any Avery product, including table tents and name tags, to be merged with a group of records in a matter of minutes. You can address to households, individuals or only active voters. Letters are merged automatically in Microsoft Word. The software user never has to leave Aristotle’s software.

Internet Phone Telephony (IPT) Integration

IP-Telephony allows your team to reach out to constituents easier and more cost-effectively.

As Cisco certified developers, Aristotle is the only vendor in the market that has a fully integrated suite of IPT technology solutions. The integration provides the full integration of telephone and database systems to display on the desktop of the user the most pertinent and actionable information for each constituent at all times. This integration allows for call routing, call tracking, conference calling, call to email notification and call management that augments the data storage and management features of the Constituent Service! product.

Voter Database Updates

Voter registration is updated on a schedule determined by the client. Source data can come from the legislature, the state centralized database or the Aristotle maintained database of over 172 million voters.

Micro-targeting and Data Analysis

Aristotle provides advanced data analysis to assist organizations understand how to best serve constituents.  Prizm lifestyle/life stage data, email addresses and constituent survey questions and responses makes it possible to better understand the motivating factors for a constituency.  Web applications allow users to access the data stored to perform a variety of searching, reporting and data extract tasks on a state, county or house district level.

Automated Address Correction

Mailers Plus+ standardizes and corrects constituent addresses automatically to conform to the U.S. Postal Service guidelines. This integration cuts down on data entry, eliminates typographical errors and reduces Postal Service returned mail costs.
